How do I set up my Microsoft Outlook email account?

Often we receive calls from our customers who are having email issues. Many times, this is a Microsoft Outlook issue. The instructions below should help clear up some common Outlook issues.

Some versions of Microsoft Outlook are different, but they should all have these settings somewhere, though the names may vary slightly.

1) Open Microsoft Outlook and go to Tools->Accounts. If you need to add an email account, Click the Add button. Enter the information at each of the steps when prompted:

- Email address: [whatever]@domain.com
- Incoming POP3 server: mail.domain.com
- Outgoing SMTP server: mail.domain.com
- Account name: [whatever]+domain.com
--- Note that the account name is the same as the email address, but with + instead of @ - Password: [whatever]
- Log on using Secure Password Authentication is NOT CHECKED

2) Once the account is created, you can view the properties by selecting the account and clicking the Properties button. There is one more thing to verify before the account is ready. Click on the Servers tab. At the bottom under "Outgoing Mail Server" is a check box next to "My server requires authentication". Make sure that this is checked! Don't confuse it with "Log on using Secure Password Authentication", which is NOT checked. Also click on the Settings button next to it and make sure that "Use same settings as my incoming mail server is checked".

3) Send a test message and click "Send/Receive". If you don't get any errors, then you are good to go! If it can't connect for any reason, make sure that you have Internet connectivity, and then double check your settings with what is listed above.

Our existing clients may want to check their email online without using Outlook. Here is how to do that.

1) Go to http://www.domain.com/webmail/

2) At the prompt, enter your username and password. Your username is the same as your email address, only replace the @ with a +. For example, if your email address is "john@site.com", you username is "john+site.com".

3) Select the program you would like to use to check your email. Your choices are Horde, SquirrelMail, or RoundCube. From here you can manage all aspects of your email address.
